About two weeks before the event you should have a final team meeting. Print off the Race Day Checklist and two Race Bibles prior to the meeting

Checklist

  • Go over the checklist with the team. Add any items you think you want to have that are not on the list. Make plans to insure that you will have everything for race day. We recommend dividing the responsibility among a few people. For example one person might be in charge of food and another incharge of flashlights and reflective vests.

Race Bibles

  • You will want a Race Bible in each vehicle. Give a copy of the Bible to someone responsible from each vehicle

Decorating the Van

  • If you plan to decorate your vans you can come up with some design and theme ideas during this meeting. Figure out how you would like to go about decorating the van. Many teams get together on Thursday night for a van decorating party.

Planning for getting together on race day

  • Pick a meeting place where you can all load into your vans. You should also discuss whether van 2 will go to the start of the race. If you prefer, van 2 can go directly to exchange 6.

Estimate locations and times again

  • Have people estimate their race day pace one more time. Have another run if necessary. Use this to estimate when you'll arrive at each location. Important: If you think you will finish before 9:00 am or after 5:00 pm, contact the race directors immediately for a new start time. For a Pace Calculator click here .

Plan for communication

  • Make a directory with all of the cell phones that you will have in each van on race day. We recommend having cell phones from as many providers as possible in each van to insure the best coverage possible. Print out this directory and have a copy in each van. You may also want to make copies for family members and friends that wish to cheer for you along the course.

Make plans for lost runners

  • The course will be well marked but every year runners get lost. Make plans for what you'll do in this scenario. One idea is to have your runner carry a cell phone or a portable radio. Another idea is to give them a laminated directory with all of the cell phone numbers. If worse comes to worse they can borrow a phone from someone or use a payphone to call you.

We are currently in the process of petitioning for permits from the City of Malibu which might impact exchanges 12-18. Any questions should be addressed to the race director, Steven Aderholt.

We are confident that this year's race will be a huge success. Preparing for and permitting a slightly adjusted, more scenic and safe route with flawless logistics and an outstanding finish line is our goal, and we are well on our way! The race route should be finalized AT LEAST 60 days prior to race day.
